- Give co-workers your contact details before you travel
Make sure you don’t leave anything to chance and inform your co-workers and your boss how they can get in touch with you whilst you travel. This doesn’t just mean the number of your work cell or the email account you’ll be checking, but make sure they know your schedule so they are aware when you will be contactable and when you won’t be able to respond. This will stop any frustrating scenarios from arising if your co-workers don’t know you are going straight from your flight into a business meeting where you won’t be taking calls or picking up emails. It will also allow co-workers to manage the expectations of clients or suppliers who may be trying to get in touch whilst you are out of the office.
However much you might usually want to avoid it, copying your boss into important communication before you leave the office will allow them to have a sufficient overview of your progress to ensure they can field any questions or deal with issues that come up whilst you’re gone. Send a list of tasks that need to be accomplished whilst you’re out of the office before you leave, too – this will ensure that nothing will be missed in your absence and will save you scrambling to get the message through to them while you’re on the move.

If you have responsibility for managing other staff you should call in regularly to check that all tasks are on track and that no issues have arisen. This will show you are not trying to pass off your responsibilities while you are away from the office and will allow you to help address any problems or queries of which you may have special knowledge before they have a chance to escalate.
While it is unlikely that you will be completely cut off from all lines of communication during your business trip, you need to be upfront with anyone who might get in touch and manage their expectations of a response. Make sure you have set an out of office message before you leave that explains the dates you will be travelling, when they might expect a response, and who to get in touch with if the query is urgent.
